Some patients are very anxious to be in the vet clinic and some clients are very anxious about the prognosis of their pet. We want everyone who comes through our doors to get the best assistance, superb communication, and the utmost compassion. Taking this into account, we attempt to treat our clients like they are our friends and treat their pets like they're our own. When we are finding it challenging to fulfill our clients' needs, we do our best to offer a number of options towards resolution, keeping our patient and their owner as our highest priority. When we don't have an answer to a problem ourselves, we express concern for their needs and personally find someone who can answer their question. We want our clients' experiences with us to be positive, comfortable, and as seamless as possible.Welcome clients and patients walking into the building Welcome everyone who comes in the door, even if helping other clients Greet clients and ask them how you can helpCheck clients in Identify appointments and complete the check in process on Cornerstone Obtain a weight on the patient, show client to a room, put chart in the rackAnswer phone and direct calls to appropriate parties Answer questions about hours, address, contact information Hours: 8-6 M-F, 8-12 Sat. (Cottleville closes at 5 and is not open on Sat) Address: 2301 Technology Dr. O'Fallon, MO 63368 (Cottleville: 5287 Hwy N, Cottleville, MO 63304) Phone number: 636-###-#### (Cottleville 636-###-####)Direct medical questions to technician on call (technicians are the only staff who should be giving any advice about behavior, nutrition, medical questions, itching, medications, etc) Refill requests for medications Questions about medication, behaviors, food, symptoms Questions about whether patients need to be seenPut select calls on hold for doctors (see below), other calls for doctors can be taken in message formIf client states that they are returning a doctor's call then place them on hold to see if doctor is availableIf another veterinarian is calling then place them on hold and see if doctor is available ASAP, if not then take a messageAdd new clients and new patients to Cornerstone Create a new chart for a client Create a new patient within an existing chartSchedule annual wellness appointments Search for the patient in Cornerstone to determine when vaccines are due Schedule close to due date or next date with annual availability Ask if there are any other problems with the patient (if yes then transfer to on call tech) Repeat date and time to owner before hanging upRefill preventatives and check out for preventativesHeartgard is given once monthly and requires proof of heartworm test within the last 12 months and an exam with us within the last 12 monthsBravecto is given once monthly for puppies/once every 3 months for adults and requires an exam with us within the last 12 monthsCheck the email and direct emails to appropriate partiesAny emails that are read need to be dealt with at that time or marked as unread so that anyone else checking the email knows they need to be directed appropriatelySend recordsWith permission from the owner, send records from Cornerstone via email to other vet clinics, referral hospitals, and clientsScan and import records Scan paper records from in-hospital visits into patient charts within Cornerstone Import emailed records into Cornerstone charts Update vaccine records in the reminders section from previous paperworkOversee daily mail, outgoing and incoming Check to see that outgoing mail is sent once a day See that incoming mail is appropriately distributedKeep the front desk area organized and cleanSince multiple staff members have responsibilities at the front desk, it is important that it stay organized and accessible to allIf moving something please communicate to everyone on the team where that item can be foundOur Commitment to Diversity:We are dedicated to establishing a culture that celebrates all forms of diversity and allows us to be an inclusive service provider in thiscommunity.
